RIAX Privacy Policy

Node AI Inc., doing business as RIAX (“RIAX,” “we,” “us,” or “our”), provides a practice-intelligence software platform for advisory firms and operates the joinriax.ai website. This policy explains how we collect, use, disclose, and protect information in connection with the website, demo and early-access requests, and the RIAX platform.

Important distinction

Website inquiry data and customer platform data are handled for different purposes. Customer agreements, configuration choices, and data-processing terms may provide additional or different details for a specific deployment.

1. Information we collect

Website and inquiry information

  • Name, business email, firm name, job role, firm size, AUM range, technology stack, and other information submitted through demo, early-access, or support forms.
  • Basic technical information such as IP address, browser, device, approximate location, referring page, pages viewed, and interaction data when permitted.

Platform information

  • Account and team information, permissions, firm configuration, and integration settings.
  • Meeting recordings where enabled, transcripts, summaries, action items, follow-up drafts, Meeting Intelligence Scores, behavioral analysis, compliance outputs, and related review history.
  • Authorized CRM, portfolio, calendar, task, and client-service information needed to provide configured features.
  • Security, access, performance, and troubleshooting logs.

2. How we use information

  • Provide, configure, secure, support, and improve RIAX.
  • Generate meeting intelligence, behavioral analysis, compliance-support outputs, client health information, tasks, and calendar intelligence.
  • Synchronize information with third-party systems authorized by the customer.
  • Respond to demo, early-access, partnership, and support requests.
  • Monitor service reliability, prevent fraud and misuse, and investigate security events.
  • Comply with law and enforce agreements.

3. AI processing and model training

RIAX does not use customer meeting data, transcripts, CRM data, client health information, or compliance records to train general-purpose AI models.

Customer data is processed to provide the requested RIAX service. RIAX currently uses Anthropic Claude through AWS Bedrock for analysis and AssemblyAI for speech-to-text and PII-redaction workflows. Providers may change as the platform evolves, subject to RIAX’s data-handling commitments and customer agreements.

RIAX does not publish or disclose its prompt architecture, scoring thresholds, or proprietary decision rules. AI output is probabilistic and requires human review. RIAX is designed to support—not replace—professional, supervisory, legal, or compliance judgment.

4. How we disclose information

RIAX does not sell personal information and does not share personal information for cross-context behavioral advertising. We may disclose information:

  • To service providers and subprocessors that host, secure, analyze, transcribe, communicate, schedule, or otherwise help operate RIAX.
  • To customer-authorized integrations such as CRM, portfolio, calendar, meeting, and task systems.
  • When required by law, subpoena, court order, or valid regulatory process.
  • To protect rights, safety, security, and the integrity of RIAX.
  • In connection with a merger, financing, acquisition, reorganization, or sale of all or part of the business, subject to applicable protections.

5. Security

RIAX uses administrative, technical, and organizational safeguards intended to protect information, including encryption in transit and at rest, AWS production infrastructure, logical tenant isolation, access controls, security monitoring, and PII-redaction workflows. An independent penetration test was completed in May 2026. RIAX’s SOC 2 Type 1 program is in progress; RIAX does not claim certification until the report is complete. No security method can guarantee absolute protection.

6. Retention and deletion

Website inquiry data is retained for as long as reasonably necessary to respond, maintain business records, secure the website, and comply with law. Customer platform data is retained according to the customer’s agreement, configured retention settings, the connected system’s behavior, and applicable legal or regulatory requirements. RIAX will support reasonable export, return, or deletion requests subject to those obligations and the applicable agreement.

7. Google API Services user data

RIAX’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including Limited Use requirements.

  • Google Calendar data is accessed only to provide configured calendar and meeting-related functionality.
  • Google user data is not used for advertising or sold.
  • Google user data is disclosed only as needed to provide the authorized service, comply with law, or protect security.
  • Users may revoke Google access through RIAX integration settings or their Google account permissions.

8. Website analytics and cookies

When you allow analytics through the website consent control, RIAX may use:

  • PostHog for website analytics, page views, conversion measurement, and product-improvement insight.
  • Microsoft Clarity for heatmaps and session-interaction analytics.

These services may process IP address, device and browser information, page URLs, clicks, scrolling, and interaction data. RIAX does not intentionally submit customer platform content or client records through the public website analytics configuration. Analytics tools do not load until you select “Allow analytics.” You can change your choice at any time through “Cookie choices” in the footer.

9. Your choices and privacy rights

Depending on your location and applicable law, you may have rights to request access, correction, deletion, portability, restriction, or objection regarding personal information. You may also opt out of non-essential marketing communications and revoke integration access. RIAX may need to verify a request and may retain information when required by law or a customer agreement.

10. Children

RIAX is a business service and is not directed to children under 18. We do not knowingly collect personal information from children.

11. International use

RIAX is operated from the United States. Information may be processed in the United States and other locations where RIAX or its providers operate, subject to applicable contracts and law.

12. Changes to this policy

We may update this policy. Material changes will be posted with a revised date and may be communicated through the service or email when appropriate.
